Day-off coverage

The clinic switch for day-off coverage and handoffs, who can change it, what has to be true before it can be switched on, and what it does.

Where to find it

Settings › Clinic Setup › Coverage & paging. Only an owner or a manager of the clinic sees it and can change it.

What the switch does when it is on

These are the things that happen at your clinic once day-off coverage is on:

  • Staff get app alerts and a day-off banner, and a cover who has not accepted a day off is warned about after 120 minutes.
  • Photo, video and telemedicine emails to vets say "sign in to open it" instead of naming the pet.
  • Around 4 pm each day managers get an alert and an email whenever tonight's on-call is not fully covered, or the person on call cannot get app alerts, or someone who is off tonight is still a clinic line's destination. If nobody reads it within 30 minutes a copy goes to whoever is on call and to the vets. This includes a clinic that has not entered any on-call shifts yet.
  • The AI sorts the messages its receptionist takes by urgency, and emergency ones are emailed to managers. Caller voicemail is still off.
  • Approving a vet's time off can be refused if its times do not fit the clinic's time zone, or the chosen cover is away, unlicensed, not at this clinic or is the person taking time off. Time off with nobody covering is still allowed and managers are warned.

When it is off, none of this runs and nothing about your clinic changes.

What has to be true before you can switch it on

  • Your clinic’s time zone is set (Settings › General). Coverage works in the clinic’s own day, so it cannot be switched on while the zone is still UTC.
  • At least one person at the clinic has a current veterinary licence on file. Without one there is nobody to receive the alerts.
  • If only one person has a current licence, you tick a box to confirm you understand there is nobody to cover them.

Switching it off has no conditions.

Who is told

Every owner of the clinic gets an email whenever the switch is changed, by whom it was changed, and what it does. A manager cannot change it without the owners hearing about it. The page shows who last changed it and when.

If the platform has paused day-off coverage for every clinic, the page says “Switched off by the platform”, even if your clinic’s setting is on.

Emergency paging and caller voicemail

Emergency paging is not switched on for any clinic yet, and caller voicemail is not available yet. Neither has a switch on this page. Once coverage is on, staff can add their paging phone on their own coverage page and managers can send a test page from Manage coverage.

Your clinic’s emergency hospital number is set on Manage coverage.

Common questions

Why is the switch greyed out?
Your clinic’s time zone is still UTC, or nobody at the clinic has a current veterinary licence on file, or only one person does and the confirmation box is not ticked. The page says which.
Who can switch day-off coverage on or off?
An owner or a manager of the clinic. Every owner gets an email each time it changes.
