Duplicate patients
Pairs of patients that a nightly scan thinks may be the same animal, for staff to mark as different patients or dismiss.

Clinical › Duplicate Patients. Front-desk staff, technicians, assistants, DVMs, managers and owners see it.
How pairs are found
Once a day a scan compares the patients in your clinic and lists any two that score 70% or higher. The score adds up what matches: microchip, name (the same, or one or two letters apart), owner, species, breed, and birth dates within 30 days of each other.
A shared microchip is enough on its own. A shared name is not: two pets called Bella in different households are listed only if more matches too, such as the same breed or a close birth date.
Reviewing a pair
Each card shows the two patients side by side — owner, species, breed, birth date, when the record was created, and how many visits, lab orders and appointments each has — with the score and what matched. Click a name to open that patient.
- Different patients — keep both: they are two animals. The pair is not listed again.
- Dismiss: clears the pair without deciding either way. It is not listed again either.
Common questions
- Can I merge two patient records?
- Not yet. There is no merge tool today. If two records are the same animal, ask us and a person will help.
- Why is this pair listed?
- The tags on the card say what matched — for example Same owner, Similar name or Same microchip — and the score shows how strong the match is.
- When does a new pair show up?
- The scan runs once a day, so a pair involving a newly added patient appears by the next morning.
