Everything the AI does in RosaVet

The complete list of what RosaVet’s AI does, area by area — the exam room, prescriptions, results and records, billing, the phones, coaching, marketing and pet owners — and what stays with people.

In the exam room

  • Voice to SOAP: the doctor talks during the exam and Rosie drafts the SOAP note from the recording, with private details scrubbed out of the transcript. The DVM accepts, edits or rejects each section; signing waits until every drafted section is decided.
  • Recording consent: before recording, Rosie checks the state’s recording-consent rules. Where the client must agree, it records about 30 seconds of the client giving consent and checks the answer; recording goes ahead only when consent is clear, or the DVM overrides an unclear result.
  • Order suggestions: when a note with a Plan is saved, Rosie suggests the labs, imaging, medications and procedures the Plan mentions. Accept places the real order and adds its charge.
  • Loose ends (the Communication Coach): from a recorded visit, Rosie picks out what was raised and not settled — a second health concern, a worry about cost, a question nobody answered, an owner who sounded upset, or a reason they may struggle to follow the plan — into a panel on the visit. On the patient’s next visit within 30 days, a “From last visit” card shows up to five that were put off or never handled.
  • Dental charting by voice: say the findings out loud and Rosie turns them into tooth-by-tooth chart findings for you to review (in Chrome).
  • Dental note: Rosie drafts a dental SOAP note from the chart.
  • Dental treatment suggestions: Rosie suggests treatment based on the chart’s findings.
  • Unbilled dental work: Rosie flags dental procedures that are charted but not billed.

Prescriptions

  • Drug safety: every prescription is checked in five layers — species, allergy, drug interactions, dose range and conflicts with current medications. The interaction layer is an AI check (advisory) plus a curated interaction list, always run on the most capable AI model available.

Results, imaging and records

  • Radiology pre-read: press Run AI in the image viewer for a first read. Findings are graded and scored, each with a jump to its slice, under a DVM review block that stays Unreviewed until a veterinarian agrees, partly agrees or disagrees. The radiology worklist shows an AI confidence chip.
  • Lab interpretations: Rosie drafts an interpretation of a lab result. A DVM, relief DVM, owner or manager approves it before it can be published to the client portal.
  • Referral letters: Generate letter with AI drafts the letter to the specialist (in English) for you to edit.
  • Annual wellness reports: Rosie drafts each pet’s yearly wellness report — on the pet’s birthday, or when the owner asks for one in the portal. The clinic approves it before the owner sees it.
  • Insurance claim packets: when an owner asks for one in the portal, Rosie builds the claim packet from the visit’s records. A DVM, relief DVM or owner approves it before the owner gets it.

Billing

  • Missed charges: each time the note is saved or its Plan approved, Rosie compares what was done in the visit with the charges and suggests anything that looks left off, on the visit’s Billing tab.
  • Estimates: start an estimate from an AI draft built from the visit notes.

Phones and messages

  • AI phone receptionist: answers the clinic lines you switch on in the Voice Console. Depending on the line’s mode it takes messages or hands off to a person, or also books appointments, boarding and grooming, adds a pet and registers new clients. On a verified-reads line it can read a pet’s record after the caller confirms a code sent to their phone.
  • Message summaries: every message it takes shows the caller, the callback number, the reason, an AI summary, how urgent it is and the department it suggests (Today › Voice Messages).
  • Rebooking missed appointments: when a client who missed an appointment calls a booking line, it rebooks them on the call; those show in Scheduling › Requests.
  • AI callbacks, in Arkansas only today: Rosie only calls in states whose phone-call laws have been reviewed, and today that is Arkansas only — clinics in other states cannot use AI callbacks yet. When a doctor sets up a follow-up call, Rosie pre-fills the briefing from the visit, phones the owner in their language (English, Spanish, Portuguese or German), asks what the doctor wanted asked, reports back to the doctor, flags anything that needs a person, and sends the owner a short recap. Each owner must agree to AI calls first.

Coaching and marketing

  • Room-time coaching: each clinician gets private coaching on their own visit times — their last 30 days against their previous 30 days and the clinic’s median, with up to 3 suggestions at a time, as a daily summary, a weekly review and a monthly growth summary. It never names or ranks anyone.
  • Care and revenue opportunities: Rosie suggests care and revenue opportunities to the team, following the rules the clinic sets in Settings › Revenue Opportunity Rules.
  • Social posts: weekly AI post ideas and drafted posts in Marketing › Social.

For pet owners

  • Ask Dr. Rosie: your clients get the Dr. Rosie AI pet-health assistant. It says it is an AI, gives education rather than a diagnosis, and tells them when to see their vet.

What stays with people

  • Every AI draft and suggestion waits for a person to accept it, and a DVM signs the note. The AI never writes into the medical record on its own.
  • Owners and managers switch AI suggestions, voice transcription and radiology pre-read on or off in Settings › AI Features. That page also has household lab patterns (off by default): a daily check for the same lab value worsening or flagged in two or more pets of one household.
  • Your records are not used to train AI models, and every AI action is logged in a tamper-evident audit log.
  • Every AI feature is included in the per-DVM price.
